Changing scheme member details

When you administer a pension scheme on behalf of your employees it's essential that you make sure that the information we hold for them is accurate and current. You also need to let us know about any change to an employee's agreement that might impact their pension plan. This can be done through Royal London's auto enrolment dashboard for employers.

Key information

  • This page tells you how to update your employee details using the auto enrolment dashboard which you can access using your online service login details. If you don’t have an auto enrolment dashboard you might need to contact us to make changes.
  • You can use this method to update any number of employees' details as long as they're present on your dashboard’s workforce tab.
  • We’ll also let you know what employee information you can update yourself and when you should get in touch with us.

Managing your workforce

The simplest way to update any number of employees details at the same time is to use the 'update workers' option situated on your auto enrolment dashboard's workforce tab.

The video shows how to update your employees' details using a CSV file or individually using the relevant screens. Please note you can only edit employee details individually through your auto enrolment dashboard during the time between adding the employee and their plan being created.

Once a plan is created you can only update their details by importing a file.

Click the 'View Workforce' tile on the right-hand side of the Dashboard, or 'Workforce' on the top menu to start. Here, you can view your entire workforce. You can use the boxes at the top to filter your workers.

You can update workers from the 'workforce' screen. Do this by importing a file or editing their details individually. To import a file, click the 'Update Workers' button at the top of the 'workforce' page.

You'll then see the 'import file' screen. The process for importing a file is the same throughout our system. Watch our video on adding workers for more information. Click the 'Browse' button at the top of the page to select your file. Here's the CSV file. Click the 'import file' button on the screen to upload your file. The file has been successfully imported, so click the continue button at the bottom right-hand side of the page to proceed.

You can import a file containing all your workers and we'll identify the ones whose records have changed, or you can just include those worker records that have been updated.

You can update the following worker details by importing a file: full name, postal address, workplace email address, personal email address, and annual salary. This is the 'review changes' screen. At the top of the page, we'll show you if there are any updates that can't be made.

You should take a note of these and use the 'Contact Us' section of your dashboard to let your servicing team know about the changes you want to make. You can click the tabs to view the workers affected. At the bottom of the page, we'll confirm the updates that will be made.

When you're happy that these are correct, click the 'save updates' button at the bottom right-hand corner of the page to save the changes to the worker's records. You'll then see confirmation that the updates will be made. Click 'return to workforce' at the bottom right-hand side of the page to return to the workforce screen.

Let's take a look at 'Edit Worker details'. Please note that workers who have received a plan can only be updated using the 'import file' option. There are three pages. Use the 'Continue' button at the right-hand side of each page to navigate through them. Click 'Save and Close' at the right-hand side of the last page to save your changes.

You can make other changes to workers from the 'Workforce' screen. Click the worker's name in the left-hand column to see what options are available for that individual worker. In this case, we can opt this worker out or mark them as a leaver.

This worker has decided to opt out of the pension scheme. They sent an opt out request to you, as their employer, you need to tell us about this. Click 'Opt Worker Out' from the pop-up menu to enter their details. Here, you can see the opt out declaration. Enter their opt out date. This must be within the worker's opt out window.

Click the check box below this text to confirm you agree with the statements. Click 'opt out' at the right-hand side of the page to opt the worker out. This shows that the opt out request has been received. It shows the date they will be opted out. If a contribution had been already made for the worker, we'll arrange to refund this to the account it came from.

If a contribution had yet to be sent for them, we'd no longer expect this contribution to be made. Contributions should be returned to them if it has already been deducted through payroll. Click 'return to workforce' at the bottom right-hand side of the page to finish.

Updating employee details

The following employee details can be updated by importing a file:  

  • Title 
  • First name 
  • Last name 
  • Postal address details including postcode  
  • Workplace email address 
  • Personal email address 
  • Annual salary 

If your scheme doesn't have an auto enrolment dashboard you can still use online service to update individual employees' details.  If you're having problems using online service, please call your servicing team and they can talk you through the process. 

Things to remember when using the system:

  • You only need to provide information for those employees you're updating.
  • We'll update any information you provide that doesn't match the information we currently hold. This includes middle names and additional address lines.

Employee changes you need to contact us about 

During the time the employee is employed by you, you may be asked to make other changes to how their plan works.  This could include: 

  • Changes to their chosen retirement date.
  • Changes to their investment choice.   
  • Changes to the agreements you’ve made about how they make contributions into their plan. This could be a change in contribution percentage or if there's a change how contributions are calculated, for example making contributions using salary exchange.  

You can ask to be shown how to update your employee's chosen retirement date or investments yourself using our online service system by calling our servicing team. However, if you need to make changes and you can’t call us then you can confirm the changes using our online form.

 

Things we need to know:

  • Which employees are affected by the change. It’s best practice to identify them using their National Insurance number. If you have a number of employees to update, you can use a spreadsheet which you can then securely attach to the online form.     
  • The before and after values, for example “J Smith wants to change their employee pension contribution from 5% to 6%. “
  • When it comes to contribution changes, which month this change will start from.

Important information

Employees cannot make changes to contribution levels or salary details. You must let us know about these changes in writing. 

Asking employees to contact us about changes

If your employees have access to make their own changes using online service, we have an online service guide that takes them through the changes they can make. To make changes, they'll need to register for online access and login using a web browser. Unfortunately, we can't guarantee that online service will work when using a mobile browser. 

Alternatively, they can use a online form to let us know about personal details changes, or they can find out more about default investment and changing their investment through your dedicated employee hub page.
